Email Signature / Footnote - How to customize signature in Outlook (Desktop & OWA versions)

HOW TO CUSTOMIZE SIGNATURE IN OUTLOOK (Desktop version)

  1. Personalize the below template with your information.

  1. Highlight all text and logo (it is best to start highlighting from the top of the logo) and simultaneously hold down the CTRL key and the C key to copy.  

  1. Open Outlook and create a new email. 

  1. Go to Insert/Signatures  

  1. Select Signatures again from the drop-down  

  1. Click “New” 

  1. Name your signature and click OK. You will see a box like the one below.

  1. In the text field, paste your signature from above by simultaneously holding down the CTRL and V keys. Click OK to save. 
  2. To link your social accounts, highlight the text. Right-click and choose “link” from the dropdown menu. Copy and paste the URL from the appropriate account into the field and click OK to save.  

  1. Your signature is now saved. Set options for default and replies from the “Choose default signatures” drop-down.  

 

HOW TO CUSTOMIZE SIGNATURE IN OUTLOOK WEB APP (OWA)

  1. Follow steps 1 & 2 from above.
  2. Open the Outlook Web App and click the settings icon (upper right-hand corner).
  3. Under the tab "Mail" - "Compose and reply"—click New Signature or edit the existing one by pasting the copied signature template.
  4. For New Signature, add a "Signature Name" and hit Save.

  1. Scroll down to select the new Signature template for dropdowns when creating "New Messages" & "Replies/Forwards" emails.  Hit Save when finished.

 

SHARING YOUR NUMBERS FOR BUSINESS TEXTING

  • The following numbers are allowed on email signatures, business cards, and marketing material:
    • Voice calls only—For personal cell phone, landlines, and voice over Internet protocol (VoIP) technology (not text enabled) numbers, you must indicate “voice only,” “calls only,” or something similar next to the number(s).
    • Texting and voice calls—For Global Relay or Advisor360 numbers, you must indicate “texts only,” “texts or calls,” or something similar next to the number.
    • For example:

[Advisor name]
[Advisor title]
[Email address]
Texts or calls: [Global Relay/Advisor360 number]
Calls only: [Office and/or personal mobile number]
