Instructions for setting up delegates in Outlook and accessing the shared folders.

Sharing your folders using Outlook Desktop Client

  1. Launch Outlook

  2. Click the File tab.

  3. Click Account Settings, and then click Delegate Access.

  4. Click Add.

  5. Type the name of the person you want to designate as your delegate or search for, then click the name in the search results list.

  6. Click Add, and then click OK.

  7. In the Delegate Permissions dialog box, change the Inbox setting and others depending on your needs.

    Note: By default, the delegate is granted permission by the editor (who can read, create, and modify items) to access your calendar folder. When the delegate responds to a meeting on your behalf, it is automatically added to your Calendar folder.

  8. To notify the delegate of the changed permissions, select the Automatically send a message to delegate summarizing these permissions check box.

  9. If you want, select the Delegate can see my private items check box.

    Important: This setting affects all Exchange folders, including all Mail, Contacts, Calendar, Tasks, Notes, and Journal folders. Access to private items in only specified folders cannot be granted.

If you would like to give a person permission to access folders via OWA (Outlook Web Access), first, you need to give the person permission to access your e-mail account Mailbox, and then you need to give the person permission to access each Folder/Subfolder you want to share.

Sharing your folders using OWA (Outlook Web Access)

  1. Log in to MassMutual OKTA
    1. Select Outlook
  2. Choose Mail to open your Mail folders.
  3. Right-click Folders above Inbox in the folder list

  1. Select Permissions
  2. Click the + button to add a new person
  3. Type the name of the person you are sharing the folder with and click Add
  4. Select the desired permission level (Reviewer is recommended) - The visible folder must be a selected option.
  5. Click OK

Now, you must give permission to the inbox folder and other folders.

  1. Right-click the folder you wish to share and select Permissions.
  2. Click the + icon, type the name of the person you are sharing the folder with, and click Add
  3. Select the desired permission level 
  4. Click OK
  5. Repeat steps 2-7 for the folder(s) you wish to share.

Accessing another person's folder(s) using Outlook desktop application

To open another person’s folder(s), you need to ensure that you have been granted permission to access their Mailbox account and the Folders/Subfolders in that Mailbox account that you wish to access (e.g., See steps 1-7 above). Then proceed with Step 1 below. 

  1. Choose File | Account Settings.
  2. Select your account and click the Change button.
  3. Click the More Settings button.
  4. Click the Advanced button.
  5. Under Mailboxes, click 'Open these additional mailboxes. ' Then click on the Add button, type the person's name in the window, and click the OK button.
  6. Click the OK button.
  7. Click the Next button.
  8. Click the Finish button.
  9. Restart Outlook.

The folder will appear at the bottom of your folder list.

Accessing another person's folder(s) using OWA (Outlook Web Access)

  1. Log in to MassMutual OKTA
    • Select Outlook
  2. Click Mail to open your mail folders.
  3. Right-click on Folders above Inbox in the folder list
  4. Choose Add Shared Folder
  5. Type the name of the person whose folder you wish to open and click Add
  6. The folder will appear at the bottom of your folder list.
